Volunteer Guidelines

All volunteers filling the roles of executive members, divisional conveners and competitive team managers shall be a minimum of 18 years on or before the official start of the playing season. All volunteers filling the roles of coaches and assistant coaches shall be a minimum of 16 years on or before the official start of the playing season. KYBA referees serving the house league program shall be a minimum of 13 years on or before the official start of the playing season.

The Volunteer Info Form is to be submitted by each and every volunteer when beginning service with the KYBA. If the volunteer is continuing his / her service with the KYBA, the volunteer need only update (to the Registrar) changes in his / her personal information (if any) by e-mail each year.

Volunteers must agree to adhere to the playing rules as well as operational and conduct guidelines set down by the KYBA in its By-Laws. The divisional convener or other coordinating person will describe these rules and guidelines by written handouts and / or verbal presentation at meetings scheduled by the divisional convener or other coordinating person. The KYBA has the expectation that all volunteers will conduct themselves in a responsible and caring manner. Coaches should strive to achieve the appropriate mix of enjoyment, sportsmanship, skill development and competition. The volunteer is encouraged to consult all the available information in the website in order to maximize his / her understanding of KYBA operations.

To conform to new guidelines set down by Basketball Ontario for member associations, each volunteer seeking a role within the KYBA is required to submit a KYBA volunteer information form to the KYBA Registrar before the official start of the playing season. This form defines all the appropriate information required by the KYBA to identify its volunteers. Accuracy and completeness of information is important in planning for training and finding the best qualified coaches. The form is available in the volunteers section of the KYBA website.

In addition, Basketball Ontario requires Police Record Checks for all executive, coaches, assistant coaches and team managers. Consequently, KYBA is implementing Police Record Checks for all House League coaches too (beginning with 2008 - 2009 season).

Once the volunteer's role within the KYBA has been finalized, the Registrar will mail the Police Record Check form issued by the Ottawa Police Service and an official letter from the KYBA Registrar, which allows the volunteer to complete the Police Record Check with the Ottawa Police Service, without charge. This check is a simple process, which requires a trip to the local police station and about ½ hour of time. Once a search of all appropriate databases has been completed, the Ottawa Police Service will mail back the fully completed Police Record Check form to the volunteer.

If the Police Record Check yields no criminal record, the volunteer is required to send the completed, stamped Police Record Check form to the KYBA Registrar. In the unlikely event that a criminal record is identified by the Police Record Check, the volunteer is asked to contact the KYBA Registrar for further information.

If the volunteer's occupation requires him / her to undergo a Police Record Check as a condition of employment, the KYBA sees no need for the volunteer to repeat the process. In order to verify his / her Police Record Check, the volunteer is asked to provide a signed letter to the KYBA Registrar stating the volunteer's employer, department / location, job title and date of the Police Record Check.

The KYBA executive reserves the right to refuse service from any volunteer where it believes the volunteer may pose a risk to any player or another volunteer.
